4 Key Questions for Planning a Great Company Picnic

can be nearly as complex as planning a wedding. Today, we’re going over 4 essential questions you need to answer when planning for your company’s annual picnic.
1. Who’s Coming?
This question is deceptively simple. It’s a company picnic, so you’ll invite employees, right? But what about their families? If you choose to have employees bring family members, you’ll need to plan on expanding your guest list. A basic formula for figuring out how many guests to plan in is:
- Employees only: # of employees x 80%
Employees + families: 80% of total invited employee x 2.5
2. What’s Your Budget?
Once you’ve determined how many people will attend the company picnic, you can begin to work with a budget. In some cases, your budget will be determined by someone higher up in the company and may need to be negotiated if you’ve got an extensive guest list. Regardless, be sure to determine and stick with your budget.
3. When & Where Will It Be Held?
Spring and summer (and, if you live in a warmer climate, fall) are the best seasons for company picnics and they’re traditionally held on Saturday afternoons. However, weather is often unpredictable (especially here in the Texas Hill Country) so finding a venue that has indoor and outdoor accommodations might be your best bet.
4. What’s On the Menu?
Company picnics are almost always casual affairs but this doesn’t mean you’re stuck with your CEO grilling off-brand hot dogs and a sea of homemade potato salads.
